TheLegalAI.in ("TheLegalAI", "we", "our", or "us") respects the privacy of its users. This Privacy Policy explains how we collect, use, process, protect, retain, and delete information when you use our website, applications, tools, AI document analysis features, legal drafting tools, and related services.

1. Information We Collect

  2. Uploaded Document Information: Legal documents, judgments, orders, notices, contracts, agreements, PDFs, text content, metadata, document title, matter name, tags, and related information uploaded by the user.
  3. AI Analysis Information: Generated summaries, extracted metadata, detected risks, legal issues, draft notes, document questions, chat history related to documents, and AI-generated outputs.
  4. Usage Information: Login activity, tool usage, upload count, draft generation count, search queries, feature usage, IP address, browser type, device details, and system logs.
  5. Communication Information: Messages submitted through contact forms, support requests, feedback, or demo requests.

2. How We Use Information

We use collected information for the following purposes:

  1. To create and manage user accounts.
  2. To process uploaded documents and generate AI-assisted summaries, risk reviews, drafts, and document insights.
  3. To provide document search, drafting, legal analysis, and workspace features.
  4. To improve platform performance, AI accuracy, user experience, and service quality.
  5. To maintain security, prevent misuse, and detect unauthorized access.
  6. To provide customer support and respond to user queries.
  7. To maintain audit logs and comply with applicable legal obligations.
  8. To communicate important updates, service notices, or feature changes.

3. Document Processing and Retention

TheLegalAI follows a privacy-first document handling approach.

By default, uploaded documents may be processed temporarily for AI analysis. Unless the user chooses to save the document in their private library, the original uploaded file may be automatically deleted after processing.

Users may choose from available document handling options, such as:

  1. Analyze Only: The original document is used for processing and may be deleted after analysis.
  2. Save to My Library: The document and related analysis may be saved in the user's private workspace for future access, search, chat, and drafting.
  3. Anonymized Learning: Where enabled and consented by the user, anonymized legal patterns, phrases, issue categories, or risk indicators may be retained to improve the quality of the platform. The original document is not stored for this purpose unless separately saved by the user.

TheLegalAI does not claim ownership of user-uploaded documents.

4. Anonymized Learning Data

If the user chooses to allow anonymized learning, TheLegalAI may process extracted information to remove or reduce identifiable details such as names, email addresses, phone numbers, addresses, financial identifiers, document reference numbers, and confidential party-specific information.

Anonymized learning data may include generic legal patterns, issue categories, clause types, risk indicators, outcome patterns, and non-identifying document insights.

Although we attempt to anonymize such data, no automated anonymization process can be guaranteed to be perfect. Users should not enable anonymized learning for documents containing extremely sensitive, privileged, or confidential information unless they are comfortable with such processing.

5. User Control and Deletion

Users may access, manage, download, or delete their saved documents and generated outputs from their account, subject to available platform features.

When a user deletes a saved document, TheLegalAI will take reasonable steps to delete the original file and associated records from active systems, except where retention is required for legal, security, audit, dispute resolution, or compliance purposes.

Temporary files may also be deleted automatically through scheduled cleanup processes.

6. Data Sharing

We do not sell user documents or personal information.

We may share limited information only in the following situations:

  1. With service providers who help operate hosting, storage, analytics, security, email, or technical infrastructure.
  2. When required by law, court order, government authority, or legal process.
  3. To protect the rights, security, property, or safety of TheLegalAI, users, or others.
  4. In connection with business transfer, merger, restructuring, or acquisition, subject to reasonable confidentiality protections.

We do not allow service providers to use user information for their own independent marketing purposes.

7. Security

We use reasonable technical and organizational measures to protect user information and documents. These may include authentication, access controls, secure storage practices, audit logs, file validation, role-based access, and restricted access to user workspaces.

However, no internet-based service, AI system, hosting platform, or electronic storage method can be guaranteed to be 100% secure. Users are responsible for maintaining confidentiality of their login credentials and should avoid uploading documents they are not authorized to process.

8. Confidential and Sensitive Documents

Users should upload only those documents for which they have lawful authority, consent, or legitimate right to process.

Users should exercise caution before uploading documents containing privileged communications, highly confidential business information, personal data, financial identifiers, medical information, government secrets, or sensitive third-party data.

TheLegalAI is a productivity and AI-assistance platform. It is not a secure government repository, court filing platform, or substitute for professional legal document management systems unless specifically agreed in writing.

9. Cookies and Analytics

TheLegalAI may use cookies, session storage, or similar technologies to maintain login sessions, improve user experience, analyze usage, and protect the platform.

Users may disable cookies in their browser, but some features may not work properly.

10. Children's Privacy

TheLegalAI is intended for use by adults, professionals, organizations, legal teams, businesses, and authorized users. It is not intended for children. Users must have legal capacity to use the platform or must use it under proper supervision and authorization.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Updated versions will be posted on this page with a revised "Last updated" date. Continued use of TheLegalAI after changes means the user accepts the updated policy.
